VMWare to Proxmox Migration, Training, and Managed Services

1. Overview
This Statement of Work (SOW) outlines the scope of services ARPHost, LLC will provide in relation to the migration from VMWare to Proxmox Virtual Environment (PVE), including comprehensive setup, configuration, training, and ongoing managed services.
2. Scope of Services
A. Proxmox Virtual Environment Installation and Configuration
ARPHost, LLC will perform the following tasks for Proxmox deployment:
- Install Proxmox VE on the designated hardware.
- Update the underlying Debian OS to the latest stable version.
- Configure Debian, Proxmox, and Ceph repositories for package management.
- Establish networking configurations, including cluster communication rings and Ceph networks, as required.
- Configure the Proxmox Cluster to support high availability and scalability.
- Set up storage backends including Ceph, ZFS, or other client-defined storage solutions.
B. Virtual Machine Migration and Optimization
- Prepare the VMWare environment to enable seamless migration.
- Migrate Virtual Machines from the VMWare infrastructure to Proxmox VE.
- Install necessary OS-specific drivers and required software on migrated VMs.
- Troubleshoot compatibility or performance issues with migrated systems.
C. Backup and Failover Configuration
- Configuration of High Availability (HA) and failover mechanisms.
- Configure of onsite Proxmox backup systems.
- Establishment of offsite replicated backups using a Proxmox Backup server.
- Ensure backup data replication to immutable ZFS storage on offsite Proxmox Backup Server.
3. Training Services
ARPHost, LLC will provide structured hands-on training covering:
- Day-to-day management of the Proxmox VE environment.
- Cluster operations, VM lifecycle management, backup/failover procedures.
- Monitoring, troubleshooting, and system update processes.
Training will be conducted remotely, during setup, configuration tailored to the client’s technical capacity.
4. Ongoing Managed Services
A. Private Cloud Management
- Break/Fix Repairs as required.
- Continuous Monitoring and Alerting of Proxmox infrastructure.
- Consultation, engineering, and configuration support.
- Provide automated updates, along with weekly or monthly reports on system health and performance.
- Assist in scaling the existing Proxmox setup or planning new deployments.
- Provide on-call support for critical system incidents.
5. Responsibilities of ARPHost, LLC
ARPHost, LLC will:
- Provide qualified engineers to perform all tasks outlined in this SOW..
- Maintain clear, proactive communication with the client throughout the project.
- Identify and resolve issues promptly to minimize service disruptions.
- Provide detailed documentation and reports as required.
6. Client Responsibilities
The client agrees to:
- Provide access to necessary hardware, network infrastructure, and credentials.
- Ensure staff availability for consultation and training sessions.
- Collaborate with ARPHost, LLC on project planning, scheduling, and testing.
7. Deliverables
- A fully configured and operational Proxmox cluster.
- Successfully migrated VMs from VMWare to Proxmox.
- A trained client team capable of managing and monitoring the Proxmox environment.
- Configured backup systems and HA/failover mechanisms.
- Ongoing managed services with regular system health reports.
8. Timeline
The project timeline will be finalized upon agreement but is expected to follow this sequence:
- Environment Assessment and Planning
- Conduct a comprehensive assessment of the current infrastructure to determine requirements for solution replacement and future scalability. This phase includes:
- Identifying hardware, software, and network resource needs.
- Collaborating with stakeholders to align on project goals and growth projections.
- Delivering a detailed Bill of Materials (BOM) based on the assessment. Estimated Duration: 1-2 weeks
- Proxmox Installation and Initial Setup
- VM Migration and Testing
- Training Delivery
- Backup and HA configuration.
- Transition to ongoing managed services.
9. Acceptance Criteria
Services will be considered complete when:
- All scoped systems are deployed, configured, and tested.
- Migrated VMs are operational on Proxmox without critical issues.
- Backup systems are fully configured and verified.
- Training has been successfully delivered.
- Ongoing support is in place and operational.
